How We Transformed a Hyatt Regency Ballroom in Just Two Hours for a 51 Table Corporate Gala

When people walk into a beautifully designed ballroom, they rarely think about everything that happened behind the scenes to make it possible.

This project is a perfect example. It all started with one email.

The client’s first email was simple: “Can you come up with an event design with a subtle nod to basketball for 51 tables at the Hyatt Regency Dallas?”

There was just one challenge.

The ballroom would be used for a classroom-style conference throughout the day before being transformed into an elegant evening gala. That meant our team would have just two hours to completely flip the room.

Designing for the Audience

The client wanted the event to feel upscale and sophisticated without relying heavily on florals. Since the audience was predominantly male, we focused on creating luxury through texture, lighting, and carefully layered tabletop details.

Instead of filling the room with flowers, we designed tables that felt rich, modern, and timeless.

Each table featured black velvet tablecloths, heavy matte satin napkins, gold rim chargers, and a custom basketball-inspired table number that gave a subtle nod to the event theme without overpowering the overall design.

Creating a Centerpiece That Made a Statement

The focal point of every table was a custom floating candle installation.

Each centerpiece included twelve cylinder vases in varying heights of 10, 12, and 14 inches, all arranged on a round mirror base. Every vase was filled approximately three-quarters full with water before floating candles were added.;

The combination of varying heights, reflections from the mirror, and warm candlelight created an elegant centerpiece that immediately elevated the ballroom while keeping the overall design masculine and refined.

When multiplied across all 51 tables, the installation became a major production. Hundreds of glass cylinders and floating candles, thousands of pounds of water, yet every table needed to look identical.

The Systems Behind the Design

“Large-scale events require more than beautiful ideas. They require efficient systems.

With hundreds of vases needing to be filled in a very short amount of time, our team used our in-house water distribution system with pumps and dispensers to speed up the process while maintaining consistency across every centerpiece.

It’s one of those behind-the-scenes details that guests never notice, but it plays a huge role in allowing our team to execute large productions efficiently.

Once the daytime conference ended, our team immediately began transforming the ballroom.

Tables were dressed, place settings were completed, centerpieces were assembled, and candles were installed, all while working against the clock.

That transformation wasn’t possible because we worked faster. It was possible because every detail had been planned long before installation day.
